Guardian Consent
Effective date: 4 September 2026
Women Who Build welcomes participation from young people in appropriate programs, features, competitions, submissions, events, and community opportunities. Where a participant is under the age of 18, we may require permission from a parent or legal guardian before accepting or publishing a submission, photograph, video, story, competition entry, or other personal information.
This Guardian Consent process is intended to confirm that the parent or legal guardian understands and approves the young person’s participation.
Go to the Guardian Consent form
1. When guardian consent is required
Guardian consent may be required when a person under 18:
- enters a Women Who Build competition
- submits photographs, artwork, designs, written material, video, audio, or other creative content
- applies to be featured
- participates in an interview, profile, calendar feature, campaign, event, or promotional activity
- provides personal information through a form
- participates in any activity where Women Who Build intends to publish or publicly share their name, image, work, voice, or story
Additional consent may be requested depending on the activity.
2. Who may provide consent
Consent must be provided by a parent or legal guardian who has the authority to give permission on behalf of the young person.
The person providing consent must provide accurate information and confirm their relationship to the participant.
Women Who Build may contact the parent or guardian to verify consent where reasonably necessary.
3. Information we may collect
As part of the Guardian Consent process, we may collect information including:
- participant’s full name
- participant’s age or date of birth where required
- parent or guardian’s full name
- relationship to the participant
- parent or guardian email address
- parent or guardian telephone number, if required for the activity
- the activity, competition, feature, or submission being authorized
- consent confirmations
- date of consent
Information will be handled in accordance with our Privacy Policy.
4. Participation consent
By submitting the Guardian Consent form, the parent or legal guardian confirms that:
- they are authorized to provide consent for the participant
- they understand the nature of the relevant Women Who Build activity
- they give permission for the participant to take part
- the information provided is accurate to the best of their knowledge
Participation remains subject to any separate eligibility requirements, Competition Rules, submission requirements, or program conditions that apply to the activity.
5. Photograph, video and media consent
Where the relevant activity involves photographs, video, audio, interviews, written profiles, artwork, designs, or other submitted material, the Guardian Consent form may also request permission for Women Who Build to use and publish that material.
Where permission is given, Women Who Build may use approved material in connection with the relevant program or activity, including on:
- the Women Who Build website
- Women Who Build social media
- digital and printed promotional materials
- editorial features
- calendars
- event materials
- competition announcements
- media and publicity relating to Women Who Build
We will not intentionally use a minor’s content in a materially different context from the consent given without seeking additional permission where appropriate.
6. Creative work and competition entries
If the participant submits artwork, photography, writing, designs, or other creative work, ownership remains subject to the applicable Competition Rules or submission terms.
Guardian consent does not automatically transfer ownership of a young person’s work to Women Who Build.
Any licence or publication permission connected with a competition or submission will be explained in the applicable rules or consent form.
Parents and guardians should review the relevant Competition Rules before giving permission.
7. Personal information and privacy
Personal information collected through Guardian Consent will be used for purposes reasonably connected with:
- verifying consent
- administering the relevant activity
- contacting the parent or guardian
- managing a competition or submission
- protecting the safety and privacy of participants
- maintaining appropriate records of consent
Please review our Privacy Policy for more information about how Women Who Build collects, uses, stores, and protects personal information.
8. Safeguarding a young person’s privacy
Women Who Build will make reasonable efforts to avoid unnecessarily publishing sensitive personal information about a minor.
We will not intentionally publish information such as a minor’s private home address, personal telephone number, or other information that is not reasonably necessary for the relevant activity.
Parents and guardians should avoid including unnecessary sensitive information in submissions.
9. Withdrawing consent
A parent or legal guardian may contact Women Who Build to request withdrawal of consent for future use of a young person’s information or content.
Requests should be sent to:
Where reasonably possible, Women Who Build will stop future use after receiving and verifying the request.
Withdrawal may not always allow us to remove material that has already been lawfully printed, distributed, published, archived, or incorporated into completed materials.
We will explain any applicable limitations when responding to a withdrawal request.
10. Removal or disqualification
Guardian consent does not guarantee acceptance into a competition, feature, calendar, event, program, or other opportunity.
Women Who Build may refuse or remove a submission where:
- required consent cannot be verified
- information provided is false or misleading
- eligibility requirements are not met
- applicable rules have been breached
- the submission creates a safety, privacy, legal, or safeguarding concern
Competition entries remain subject to the official Competition Rules.
11. No payment unless expressly agreed
Providing Guardian Consent does not create an employment relationship or automatically entitle the participant or guardian to payment.
If compensation, prizes, expenses, products, or other benefits apply to a particular activity, they will be explained separately.
12. Accessibility and alternative formats
If you require the Guardian Consent information or process in another accessible format, please contact us.
We will make reasonable efforts to assist.
