The exact date, venue, and event details will be confirmed separately.
Photographs, video, audio, interviews, or other media may be captured during the event.
Where an individual’s identifiable image, voice, interview, or likeness is intended for promotional use, Women Who Build will rely on the applicable Media Release and any additional consent required.
Attendance at an event should not automatically be treated as unrestricted consent for every possible future use of a person’s image.
8. Participants under 18
Where a participant is under 18, appropriate parent or legal guardian consent is required.
The parent or legal guardian should complete the applicable Guardian Consent process before a minor participates in media activity requiring consent.
Where appropriate, the Guardian Consent Reference Number may be associated with the participant’s Media Release or competition record.
A minor’s participation in publicity, interviews, photography, video, or a release event may require confirmation from the parent or legal guardian.
9. Guardian Consent
Guardian Consent is separate from this Media Release but may be required in addition to it.
Guardian Consent information is available at: Guardian Consent
Where a participant is under 18, Women Who Build may verify that the required Guardian Consent has been completed before publishing media involving that participant.
10. Personal information and privacy
Personal information collected through a Media Release will be handled in accordance with the Women Who Build Privacy Policy.
Information may be used for purposes reasonably connected with:
- documenting consent
- administering the relevant project or event
- contacting the participant
- publishing approved material
- maintaining appropriate records
- responding to questions or withdrawal requests
Please review: Privacy Policy
11. Ownership of participant material
Unless another written agreement or the Competition Rules state otherwise, a participant does not automatically transfer ownership of their original artwork, photographs, written work, or other intellectual property merely by signing a Media Release.
Where Women Who Build requires a licence to reproduce participant-owned material, that licence should be limited to the rights reasonably necessary for the approved purpose.
12. Women Who Build-created media
Photographs, video, graphics, layouts, edited productions, and other materials created by or for Women Who Build may be owned by Women Who Build or its applicable creator, subject to any underlying rights belonging to participants or third parties.
A Media Release does not give participants ownership of Women Who Build-created promotional or production materials.
13. No automatic payment
Signing a Media Release does not automatically create an employment relationship or a right to payment.
Unless compensation has been separately agreed in writing, participation may be unpaid.
Where a prize, honorarium, appearance fee, travel support, product, or other benefit is offered, those terms will be communicated separately.
For the Cover Competition, any cash prize is governed by the official Competition Rules.
14. Third-party media and press
Women Who Build may sometimes work with photographers, videographers, printers, event partners, media organizations, sponsors, or other service providers.
Approved media may be shared with such parties where reasonably necessary to produce, publish, distribute, or promote the relevant Women Who Build activity.
Women Who Build will not intentionally authorize unrelated third parties to use participant media for purposes outside the scope of the applicable consent without additional permission where required.
15. Social media and online publication
Participants understand that material published online may be viewed, shared, copied, downloaded, or redistributed by members of the public in ways that Women Who Build cannot completely control.
Women Who Build will make reasonable efforts to manage material published through its own channels, but cannot guarantee removal of copies independently saved or shared by third parties.
16. Withdrawing consent
A participant, or a parent/legal guardian acting for a minor, may contact Women Who Build to request withdrawal of consent for future use.
Requests should be sent to:
Women Who Build will make reasonable efforts to stop future use after the request has been received and verified.
Withdrawal may not always allow material to be removed from:
- materials already printed
- publications already distributed
- completed calendars
- archived publications
- previously published media
- content already lawfully shared or reproduced by third parties
Women Who Build will explain any practical limitations when responding to the request.
17. Removal requests
A participant may contact Women Who Build if they believe media has been:
- used outside the permission given
- incorrectly identified
- materially misrepresented
- published with inaccurate information
- used in a way that raises a legitimate privacy or safeguarding concern
Women Who Build will review reasonable requests and take appropriate action where practicable.
18. Safeguarding and dignity
Women Who Build aims to portray participants respectfully.
Women Who Build will not intentionally publish media in a way that:
- humiliates or exploits a participant
- misrepresents their story
- exposes unnecessary sensitive personal information
- creates an unreasonable safety or safeguarding risk
- uses a minor’s image in an inappropriate context
19. Optional media permission
Where possible, media permission should be clearly distinguished from general participation consent.
For example, a person may participate in an activity without automatically agreeing to every form of promotional media use unless media participation is essential to that specific activity and has been clearly explained.
For minors, media permission should remain separate from general Guardian Consent where appropriate.
20. Accessibility
If a participant requires this Media Release or related information in another accessible format, Women Who Build will make reasonable efforts to assist.
